Step by step
The Subject Access Request, step by step
Free. One month. Email route for applicants outside the UK.
Step 1: Request the file, free
Use the UKVI Subject Access Request form (visas-immigration.service.gov.uk/product/saru). Applicants outside the UK choose the email route and attach a passport copy and the signed authority if a representative requests it. There is no fee.
Step 2: Wait one month
UKVI must respond within one calendar month under UK GDPR; it can extend by two further months for complex requests, which is rare for a single refusal.
Step 3: Read what the file holds
The decision record, the entry clearance officer's notes, interview notes where an interview took place, the checks run on your documents, and every prior application and outcome linked to your passport.
Step 4: Match notes to paragraphs
Each refusal cites a paragraph: Appendix V 4.2 for genuine visitor, V 4.3 for funds, Appendix Student for credibility and maintenance, Appendix FM for partner routes, Part 9 for suitability. Our decoder explains each one.
Step 5: Reapply with a different file
There is no appeal for visitor and student refusals from India and no administrative review for entry clearance except on specific grounds. The remedy is a new application whose evidence answers each cited paragraph.

What a rebuild changes
- Funds: the statement shows the trip or course cost plus six months of normal activity, with every large credit explained by a document.
- Ties: land records, employment letters, the children's school certificates, the business GST returns; evidence of a life to return to, not a sentence saying so.
- Purpose: an itinerary, the invitation and the sponsor's status and income shown from UK documents, not an email.
- Consistency: the new form matches the old one on every date and every previous travel; the file already holds the old form.

Can I appeal a UK visitor visa refusal from India?ShowHide
No. Standard Visitor and Student refusals carry no right of appeal and no administrative review for entry clearance. The only remedy is a new application that answers the refusal paragraphs with different evidence. Family route refusals under Appendix FM do carry an appeal right on human rights grounds.
What is a Subject Access Request and does it cost anything?ShowHide
It is a request under UK GDPR for the personal data UK Visas and Immigration holds about you. It is free, made on the UKVI online form, and UKVI must reply within one month. Applicants in India use the email route and receive the file as a PDF.
What does the Home Office file contain?ShowHide
The decision record for each application, the entry clearance officer's notes and reasoning, interview notes if you were interviewed, verification checks on bank statements or employers, and the history linked to your passport number. It is the UK equivalent of Canada's GCMS notes.
How soon can I reapply after a UK visa refusal?ShowHide
Immediately. But a reapplication with the same file gets the same answer, often faster, because the officer reads the previous refusal first. Wait for the Subject Access Request unless the travel date cannot move, then reapply with evidence that answers each paragraph.
Does a refusal under paragraph V 4.2 ban me from the UK?ShowHide
No. A genuine-visitor refusal is a judgement on that application, not a ban. A refusal under Part 9 for deception or a false document carries a 10-year ban and must be addressed differently; the file tells you which applies.
Do you guarantee the reapplication will be granted?ShowHide
No, and nobody honestly can. We change the evidence that failed and present it so the paragraph the officer cited is answered. The decision remains the Home Office's.
